    We are almost a week away from conference and I am excited to see everyone there!

    I wanted to highlight some of the STUDENT EVENTS happening at conference this year:

    Hello Everyone!

    I wanted to let you know that the Sheraton Austin Georgetown extended our deadline for hotel room reservations until March 12, and as a result we decided to extend the conference registration to that same date as well! You now have until TUESDAY MARCH 12 to help SWAMTA out by booking a room and staying at the Sheraton Austin Georgetown-and they have added more rooms with double queen beds as well!

    A friendly check in & reminder about the upcoming 2019 SWAMTA Conference! 

    (1) HOTEL: A few of you have let me know that you've had issues with the link for booking a hotel room and it telling you that there are no rooms available. There are still have plenty of rooms-however this issue has been happening because the hotel only has a limited number of rooms with two queen-sized beds. I have been in contact with the hotel multiple times about this and currently there are more double queen rooms available (and plenty of one-king size bed rooms). We are not out of rooms so PLEASE still book a room to stay at our conference hotel. In the contract we sign with the hotel we agree to book a certain number of rooms by March 6, and when we do not met that amount we incur a fee to cover the amount.  You are helping SWAMTA by staying at the hotel, so please let me know if you have any issues and know that I am doing the best I can to work with the hotel on this problem.

    (2) CMTEs: We have almost 70 people signed up for our Advocacy In Action Bootcamp, which is great! Reminder that there is no limit on the number of people who can attend this event, but to guarantee a spot for transportation between the hotel and capitol, we need you to sign up prior to Feb. 21. We really hope you can join us for our advocacy boot camp, but if not there are other CMTEs you can still attend!  Please note that CMTE E will actually be held Thursday March 28 (not Wednesday) from 1:00-4:00. 


    (3) REGISTRATION: Online pre-registration will close on March 6! This date was chosen to line up with our deadline for booking hotel rooms-if you're having any issues with registration, please don't hesitate to email me directly at dianemusictherapy@yahoo.com

    Hello Conference Attendees! 

    I wanted to let you know that there are still PLENTY of hotel rooms available-the only trouble that you might run into is if you are trying to book a room for 4(four) people.  Feel free to contact Diane at dianemusictherapy@yahoo.com if you run into problems, but PLEASE still book your room at the Sheraton.

    The deadline to book hotel rooms with our rate is March 6.

    You are significantly helping SWAMTA financially by staying at our hotel.

    The Board often gets questions as to WHY timing is the way it is for either conference registration or Call for Papers. Here's a peek into that process:

    Call For Papers
    -Proposals accepted October 1-November 30 (gives 2 full months, also time after national conference to be inspired & get through Thanksgiving)

    -The schedule will be available to be posted to website prior to Jan 13 (gives week to make edits and post to website prior to end of early bird)

    Registration

    Early Bird: November 12 - February 2 (so that it is open prior to national conference)

    Regular: February 3 - March 6 (to line up with room block deadline and give 3 weeks to finalize materials)

For each Institute and CMTE course occurring in conjunction with regional conference, a minimum registration number will be set. The minimum registration number is based on covering the cost of holding the course (CBMT fee, room rental, AV rental, etc.) and is determined by the Continuing Education Director, with the support of the Board of Directors. Should that minimum registration number not be met by the regular conference registration deadline, the course may be subject to cancellation. The cancellation will be agreed upon by the Continuing Education Director with approval from the President. If insufficient enrollment exists by the end of the regular registration deadline, SWAMTA may cancel the CMTE course.


Full refunds are available until March 1, 2019. Partial refunds available with written request after March 1. Requests must be made to the Vice President and copy the Treasurer. Requests will be processed within 30 days after conference concludes.
